This Privacy Policy explains how Bitmaps.ca (“Bitmaps”, “we”) collects, uses, stores, and protects information when you contact us through WhatsApp, including when we use automation tools (such as n8n) to organize and respond to requests.

1) Who we are

Bitmaps.ca provides public support through digital channels, including WhatsApp, to answer questions, register requests, and deliver services related to our activities.

2) What data we may collect on WhatsApp

  • Identification and contact: name (if provided), phone number, profile photo/name (when available via WhatsApp).
  • Message content: text, audio, images, videos, and documents you send.
  • Support metadata: date/time, conversation status (e.g., “open/closed”), internal tags, interaction history.
  • Integration technical data: message identifiers required for the WhatsApp API and automation workflows.

Note: we do not request unnecessary sensitive data (e.g., medical data, biometric data, highly confidential information). If you send such data on your own, we will handle it with extra care and only as needed to assist you.

3) How we use your data

  • Provide support, respond to questions, and assist you.
  • Register requests, open tickets, and track service status.
  • Send information related to your contact (e.g., confirmations, instructions, updates).

7) Storage and retention

  • We keep data for as long as needed to assist you and to meet legal/contractual obligations.
  • We may retain records for additional periods for security, auditing, and fraud-prevention purposes.
  • When possible, we delete or anonymize data that is no longer needed.

We use administrative and technical safeguards to protect information, including access control, logs, authentication, and secure settings in the WhatsApp integration and the server running automations.

No system is 100% secure. If you suspect misuse, please contact us immediately.

  • closure of support and stopping messages.

To stop receiving messages, you can request it in WhatsApp (e.g., “stop”/“close”) or block the contact in the app.

If you send files, images, or third-party information, you confirm you have authorization to share that content with us. Use WhatsApp carefully and avoid sending extremely sensitive data.

11) Links and third-party services

We may send links to external websites and tools. We do not control those third parties’ privacy practices; we recommend reading their policies.
